STUDIO POLICIES

At Destination Dance Hawaii, we are committed to creating a safe, respectful, and inspiring environment for all students and families. Please review thefollowing policies carefully, as they outline important expectations, procedures, and studio guidelines that help ensure a positive experience for everyone. By participating in our programs, you agree to abide by these terms.
Registration and Enrollment

All families must pay a $35.00 (per student) annual registration fee.

All students must complete the registration process, which includes providing accurate personal information and emergency contact details.

Enrollment in classes is subject to availability and is on a first-come, first-served basis.

Tuition fees, payment schedules, and any applicable discounts or promotions will be communicated during the registration process.

Upon enrollment, you are committing to the current month. Thereafter, your enrollment will continue until you "drop" the class via the Parent Portal. We highly recommend dropping the class on the last day (or last class) of the month to avoid being automatically enrolled in the following month. Once you receive your bill for the current month, it serves as your confirmation that you have committed to that month.

All parents are required to sign Destination Dance Hawaii’s waivers annually via the Parent Portal.
Attendance and Punctuality
-
Students are expected to arrive on time for their scheduled classes. Late arrivals may disrupt the class and hinder the progress of other students. For safety reasons, after 15 minutes, it is at the teacher’s discretion whether to allow participation or entry to class. Parents may use the "Check-In" feature of the Parent Portal to indicate their student is coming to class.

For private lessons, arriving 15 minutes late is considered a no-show, and the full lesson fee will still be charged. The instructor may decide whether the remaining time can be used for the lesson.

Regular attendance is important for consistent progress. If a student cannot attend a class, they should notify the studio via the Parent Portal under More → Attendance → Report Absence.

Excessive absences or consistent tardiness may affect a student’s eligibility to participate in performances or scholarship programs.

Students with multiple absences due to medical reasons may be required to submit a doctor’s note before returning to class.

Studio performance opportunities are considered excused absences; however, classes will not be credited unless this is specifically communicated beforehand.

Make-up classes are primarily reserved for Petites and Minis or classes that have an equal alternate (noted by class names followed by (A), (B), (C), etc.).

Make-ups may only be scheduled if the parent submits an excused absence via the Parent Portal.

Examples of excused absences include, but are not limited to: Medical/Illness (a doctor’s note may be required), School Events, Verified Traffic Delays, and Bereavement.

The Director of Operations or higher may authorize other excused absences.
-
You have thirty (30) days to make up any class from the absence date.
-
Make-ups are not guaranteed.
Trials
-
Experience Our Studio
We welcome all new students to enjoy a complimentary trial class. It’s a great way to explore our studio and see if it’s the right fit before officially enrolling. -
One Trial Per Genre
Each new student is allowed one free trial in each of our core dance genres. Trials are officially recorded when the student attends and is marked present by the instructor. -
Enrollment During Trial
If a parent enrolls the student in the same class prior to the trial date, the trial is forfeited and normal tuition rates apply.
Parents who wish to keep their trial free should wait to enroll until after the trial class is completed. -
Beginner-Level Starting Point
All new students, regardless of previous dance experience, begin in beginner-level classes for each genre they wish to explore. This helps ensure consistent placement, prevents potential level adjustments later, and gives instructors the chance to accurately assess skill and comfort in our unique teaching style. -
Instructors will observe students during the trial and provide feedback either immediately after class or through a follow-up conversation. When appropriate, instructors may recommend advancing to a higher level, with final placement approved by our Dance Director
Additional Notes:

Trials are subject to class availability. If a class is full, trial students may be added to a waitlist.

Trial classes are free and do not hold a place in class until the student physically attends.

Please arrive in clean, comfortable, and appropriate dance attire. Some classes may require clean sneakers, socks, or bare feet.
Drop-Ins
-
Drop-ins are fee-based classes for students who do not wish to commit to the month.

Drop-ins incur an additional fee and must be paid within thirty (30) days of attendance.

Drop-in spots are not guaranteed and are based on enrollment availability.
-
Drop-in students are required to wear the current class uniform.
Dress Code and Attire
-
Students must follow the dress code specified for each class, which typically includes appropriate dance attire such as leotards, tights, ballet shoes, and secured hair.

Our Uniform Catalog is available in-studio and online.

Trialing students are not required to purchase a uniform. Upon enrollment, you have thirty (30) days to purchase and begin wearing the required uniform.

Safety is our top priority. Students should not wear jewelry or accessories that may interfere with class. Please consult your instructor with specific questions.
Annual Recital
-
Recital participation is highly encouraged at Destination Dance Hawaii.
-
A non-refundable $50.00 (per student) recital registration fee is required.
-
The annual recital for the 2025-2026 season will take place on April 24 & 25 2026, at Leeward Community Theatre.
Advancements
-
Advancement by Age: Students who age out of a class may advance. Age advancement may not occur on the exact birthdate and may be deferred to the new season.

Technical Advancement: Students demonstrating exceptional skill may be recommended for advancement by their instructor and approved by the Director of Dance. Parents may choose to opt out, with Director approval.
Behavior and Conduct

Students and parents are expected to display respectful and courteous behavior toward instructors, staff, fellow students, and studio property.

Destination Dance Hawaii focuses on discipline and safety in technical training. Major behavioral issues will be addressed with the student’s parent(s).
-
Disruptive behavior, bullying, or harassment will not be tolerated and may result in suspension or expulsion.
Parent/Guardian Involvement
-
Parents are encouraged to support their child’s dance journey.
-
Parents should respect designated observation areas and not enter dance studios or rehearsal spaces without permission.
Safety and Liability
-
Destination Dance Hawaii is committed to providing a safe environment.
-
Students showing signs of illness may be asked to leave the studio. Parents will be notified.
-
All staff members are certified in CPR, First Aid, and AED use.
-
Students and parents should report safety concerns or injuries to staff immediately.
-
The studio is not liable for injuries, accidents, or lost personal items, as outlined in the signed Parent Portal waiver.
-
Our food may contain allergenic ingredients, including nuts, gluten, dairy, shellfish, eggs, soy, and fish. We make an effort to avoid carrying nuts in the studio and encourage families to refrain from bringing nut products.
Photography and Videography
-
Photography and videography during classes, rehearsals, or performances may be limited or prohibited. Policies will be communicated in advance.

Parents who do not wish their child to appear on social media must notify the administration. Students should also inform instructors and step out during filming.
Tuition and Payments
-
Tuition fees, schedules, and payment methods are provided during registration.
Important Information:
-
Parents who pay their bill online via the Parent Portal on the 1st of the month receive a 5% discount. Payment must be completed by 11:59 PM on the 1st. If issues arise, please contact the studio within business hours.

Tuition is billed on the 1st of each month and prorated for classes not in session.
-
AutoPay runs on the 5th of each month for tuition only.
-
Parents who wish to clear their entire balance monthly may request to join the Clear Balance Authorization list.
-
Tuition is due by the 15th of each month.
-
Active Duty, Retired, and Disabled military ID holders, as well as First Responders (police, firefighters, and EMTs), are eligible for a 10% discount on classes and merchandise. Some restrictions apply. It is the service member’s or first responder’s responsibility to present valid ID to the administration.

Late fees may apply starting on the 16th for overdue tuition.
-
Accounts more than one month behind will be contacted for resolution.
-
Accounts more than two months behind may result in student suspension until payment is resolved.
-
Refunds for missed classes follow studio policy and are not guaranteed.
-
No refunds will be given for closures due to acts of God, including inclement weather, natural disasters, power outages, or other uncontrollable events.

Parents are responsible for verifying bill accuracy and should report discrepancies to billing@d2hi.com.
-
Non-sufficient funds (NSF) will result in a $25.00 fee plus any additional studio-incurred fees.
Studio Guidelines

Please dispose of trash properly.
-
Lost & Found: Items will be held for 30 days before being disposed of or donated.
-
Parking is available in CUSTOMER ONLY stalls in the Harbor Center parking lots.

Report any suspicious behavior to the administration immediately.
Communication

The studio will regularly update families via email, text, phone, and the Parent Portal.

All official studio emails will also be posted in your Parent Portal under More → News & Notes → Email History.

MERCHANDISE RETURN & EXCHANGE POLICY
In Studio Purchases
(Effective June 2025)
To ensure a smooth and consistent experience for all fundraising families and their supporters, the following policy applies to merchandise sold in-studio:
Return Window

Merchandise may be returned within 5 days of the original purchase date.

Returns will not be accepted after the 5-day window.
Return Requirements

A printed or digital receipt must be presented at the time of return.
-
Items must be in new, unused condition, with original tags and packaging intact.
-
Returns that do not meet these requirements will not be accepted.
Refunds & Exchanges

Approved returns are eligible for exchange or store credit toward other in-studio fundraising merchandise.

Cash refunds will not be issued by the studio. All fundraising transactions are handled by the individual fundraising family.​
D2HI Grub Hub Policy
-
All Grub Hub purchases are final sale. Items may only be exchanged or addressed if the concern is brought to our attention while the student is still in the studio. Once an item has left the premises, Destination Dance Hawaii is not responsible for refunds, exchanges, or replacements.
Online store Return & Exchange Policy
​All D2HI merch is made to order, which means each item is uniquely created just for you. Because of this, returns and exchanges are not available for items ordered in the wrong size, color, or if you simply change your mind.
​
However, if your item arrives with a manufacturing defect or is damaged in transit, we’re happy to help. In those cases, we offer a free replacement or refund.
